PURPOSE:
The Intake Manager is responsible for the scheduling and patient onboarding of RISE Pediatric Therapies in Florida. This position is responsible for the seamless entry of new clients into the agency, managing the flow of information between families, the Revenue Cycle department, and the clinical ABA team to ensure timely commencement of services that exceed customer expectations and improve clinical and financial operations. S/he will be responsible for leading the company’s two core objectives:
1. Exceptional Patient Experience: Rise Pediatric Therapies patient experience is of the utmost importance and is their highest priority. Serving their clients and creating a system of support is their mission and the Intake Manager will be responsible for all clinical scheduling and patient onboarding to make sure they are providing the best possible patient experience in all aspects of daily activities.

ESSENTIAL JOB FUNCTIONS:
- Oversee the intake process to ensure timely and accurate client assessments.
- Work closely with the Revenue Cycle team to obtain appropriate insurance authorizations for assessments and ongoing treatment.
- Schedule initial assessments and ongoing services and ensure clinical documentation is submitted within timeframes identified to ensure services are not disrupted to operational support
- Partner with the RBT Coordinator to communicate upcoming client needs and ensure appropriate staffing levels are available for new cases.
- Maintain comprehensive records and documentation for compliance and reporting.
- Assist in developing and implementing policies to improve intake procedures and client satisfaction.
- Collaborate with community organizations to promote outreach efforts.
MANAGEMENT RESPONSIBILITIES:
- Provide positive leadership and team building based on respect, cooperation, and competence
- Budgetary accountability for authorized services of RISE Pediatric Therapies Florida
- Take personal responsibility for actions; use effective problem solving skills and seek support when needed
REQUIRED SKILLS:
- At least 1 year of relevant scheduling experience required
- Thorough understanding of practices, theories, and policies involved in therapy services.
- Superior verbal and written communication and interpersonal skills.
- Strong knowledge of commercial insurance and Electronic Health Records (EHR) systems
- High level of compassion and empathy when communicating with families entering services
- Extremely proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Excellent analytical, decision-making, and problem-solving skills.
MINIMUM QUALIFICATIONS:
- Bachelor’s degree in Healthcare or Business Administration, or related field preferred.
- 3 years of related experience.
PHYSICAL REQUIREMENTS:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
