The Administrative Specialist performs a wide range of administrative and personal assistant duties including conducting research, preparing statistical reports and spreadsheets, preparing correspondence, reports, handling information requests, providing purchasing and payroll support, fulfilling recruitment and on-boarding tasks of prospective employees, and maintaining calendars and schedules of program leadership.


The Administrative Specialist is also responsible for the support of clerical activities within the Community Behavioral Rehabilitative Supports (CBRS) and Applied Behavioral Analysis (ABA) departments.


  • High School Diploma/GED
  • Possess proven administrative, billing, organizational, and time management skills
  • Have the willingness to learn, ask questions, and integrate information into daily work tasks
  • Be a problem-solver, and a self-motivator that takes initiative
  • Possess excellent verbal and written communication skills
  • Be detail-oriented and a strong problem solver
  • Demonstrated ability to provide excellent customer service and communicate effectively with staff, clients and families members
  • Have knowledge in using general office equipment & electronic health record documentation
  • Proficiency with Microsoft Office and Google Suite



  • Bilingual in English and Spanish, preferred
  • 2 years administrative experience in a clinical setting, preferred


  • Participate in daily clinic duties, such as scheduling appointments, completing intake appointments and paperwork, verifying insurance, and completing reminder calls
  • Accurately and quickly process all insurance eligibility forms, insurance information, treatment history information, and other information as required
  • Actively participate in the process of hiring, onboarding and training new employees as directed by supervisor
  • Participate in department payroll process, as assigned
  • Manage and maintain staff paperwork and other documents as requested
  • Complete claims and billing tasks, as assigned by leadership
  • Participate in activities related to compiling reports and personnel management, as assigned by leadership
  • Assist in staff and participant scheduling process, according to current authorizations
  • Collaborate with other teams and individuals to complete necessary or assigned tasks
  • Complete quantitative and qualitative electronic health record reviews
  • Maintain program productivity dashboards and reports
  • Provide administrative specific electronic health record training for program staff
  • Provide audit reports to program team members and leadership for review and correction
  • Collaborate with other teams and individuals to complete necessary or assigned tasks
  • Perform other administrative duties as required to support the mission and function of the department
  • Maintain professional boundaries and a good rapport with clients, families and colleagues
