REPORTS TO: Administrative Team / Occupational Therapist
JOB SUMMARY: The Administrative Assistant (AT/AE Support) assists in the evaluation and training of assistive technology and adaptive equipment for clients with disabilities or accessibility limitations. This role combines clinical, administrative, and technical responsibilities to ensure equipment functionality, patient safety and proper use of grant funding per contract.
KEY RESPONSIBILITIES
Client & Family Support (Adaptive Equipment)
- Assessment Support: Assist therapists with in-person or telehealth evaluations to identify mobility or daily living needs.
- Oversee, ordering, delivery and proper use of adaptive equipment (DME), including sensory items, seating/positioning systems, mobility devices, and safety items to ensure optimal function.
- Device Demonstration & Training: Provide client and caregiver training on the safe usage, care, and maintenance of adaptive equipment under the direction of the therapy team.
- Fabrication/Modification: Assist with minor modifications or repairs to adaptive devices (e.g., custom seating, foam adjustments, fabric adjustments.
Technical & Assistive Technology Support
- Equipment Setup: Install, troubleshoot, and maintain AT devices, including computer access software (e.g., screen readers, voice recognition) and communication devices.
- Inventory Management: Track inventory, manage equipment loans, and maintain the functionality of demo technology.
Administrative & Coordination
- Documentation: Maintain accurate electronic records of assessments, orders delivery and training and associated accounting records.
- Procurement Support: Assist with coordination and delivery of the correct adaptive equipment/assistive technology for ensuring each person receives the right equipment to improve independence, safety and quality of life.
- Coordination: Act as a liaison between clients, vendors, and clinical staff to schedule assessments, follow up on orders and work with vendors for scheduled home modification projects.
- Support administrative needs of organization as directed by Lead Admin
REQUIRED SKILLS & QUALIFICATIONS
- EDUCATION: High School Diploma or equivalent; Completion of an accredited Medical Assistant program preferred.
- EXPERIENCE: Previous experience in rehabilitation and occupational therapy treatment for people with disabilities, with a variety of diagnoses ranging from infant to adult is highly preferred. Proficient in Microsoft office, Excel, Word, Outlook and Sharepoint.
- TECHNICAL APTITUDE: Ability to learn and troubleshoot software and hardware solutions
- MANUAL DEXTERITY: Aptitude for adjusting, repairing, and fabricating equipment using simple hand tools.
- COMMUNICATION: Strong interpersonal skills to educate clients and families.
PHYSICAL REQUIREMENTS
- Ability to stand/walk for extended periods.
- Ability to lift up to 50 lbs to assist with equipment handling.
- Manual dexterity for precise adjustments of devices.
- Occasionally needs to move about inside the office to access file cabinets, office machinery, etc. and positions self to maintain files in file cabinets.
- Occasionally ascends/descends ladders, stairs, scaffolding, ramps, poles, and the like.
- Frequently moves self in different positions to accomplish tasks in various environments including tight and confined spaces.
- Constantly operates a computer and other office productivity machinery, such as copy machine, phone system, and computer printer.
- Must be able to communicate information and ideas so others will understand and must be able to exchange accurate information in these situations.
- Must be able to work full-time in a variety of environmental conditions: high and low temperatures, outdoor elements such as precipitation and wind, hazardous conditions, and small/enclosed spaces.
- Requires travel within 30 miles of the office and further as necessary.
